Chaperones at EXPO

Chaperones are the heartbeat of a successful EXPO experience. Whether you’re a parent, volunteer, or staff member, your presence ensures that students are safe, supported, and able to make the most of their time together.

As a chaperone, you'll help guide, support, and supervise students from your Branch throughout the week. You’ll attend main sessions, help enforce schedules and safety standards, and join in the fun—cheering on your APEX team, participating in Tribe Wars, and connecting with other families and leaders.
Chaperones are not just monitors—they’re mentors, encouragers, and part of the EXPO family.
Historically, individual branches managed their own chaperones in hotel rooms. Now, with CYT National serving as the official host on university propertywe are responsible for every individual on campus — students, staff, and volunteers alike.
Because of that, safety and accountability are our top priorities. We are implementing enhanced measures to ensure that EXPO remains not only an amazing experience, but also a safe and protected one for all involved.

Campus Access & Supervision

Every adult on the Jessup University campus during EXPO will fall into one of three approved categories:
  1. CYT National Leader/Staff
  2. EXPO Chaperone (assigned to a student housing cluster)
  3. Day Pass Holder (limited access for approved visitors during specific hours)
If an individual is not registered in one of these roles, they will not be permitted on campus.

Requirements to Serve as an EXPO Chaperone

Each branch must provide chaperones to supervise their assigned student housing clusters. However, it is critical to understand:
All EXPO Chaperones, regardless of their home branch, are acting under the authority of CYT National while onsite.
They are on campus at the permission of CYT National and must meet all national safety standards.
All adults housed on campus and serving as chaperones must:
  • Complete the EXPO Chaperone Application
  • Pass a current, valid background check (initiated by the local Branch or National-approved provider)
  • Complete CYT’s Online Safety Training Module (link to be provided)
  • Be recommended by their Branch Leadership via a signed Chaperone Recommendation & Character Validation Form
Any adult who does not complete all steps will not be permitted to serve as an onsite chaperone or be housed on campus.

Chaperone Role & Responsibilities

  • Each housing cluster (7–16 rooms) must have 1–2 chaperones assigned and housed in designated adult rooms.
  • Chaperones are responsible for overnight supervision, enforcing curfews, ensuring safety and order, and reporting concerns directly to EXPO leadership.
  • Chaperones must be present and accessible in their cluster at all times during overnight hours.
  • While they serve their branch community, chaperones are expected to operate with CYT National's standards, policies, and communication protocols.

Important Reminders & Additional Protections

  • CYT National will verify chaperone documentation ahead of the event and provide chaperone credentials at check-in.
  • Unauthorized adults will not be allowed into housing areas or student programming spaces.
  • Chaperone Training & Orientation will be required and offered virtually in the weeks leading up to EXPO.
  • Any breach of the code of conduct, safety guidelines, or housing rules will result in the immediate removal of the individual from campus at the expense of the branch.

Guest Policy Update

To maintain a safe and focused environment for all participants, the campus will be closed to general spectators throughout the week. However, Guest Passes will be available for select public events, allowing family and friends to join in on some of the fun. More details on how to access these events will be shared as we get closer to Expo!

EXPO 2026 Housing Info

This year, EXPO is headed to a college campus—and that means students and chaperones get to experience the full EXPO adventure together, all in one place!

Registered students and approved chaperones will be housed in suite-style dorms on the beautiful campus of Jessup University in Rocklin, CA. Each suite includes shared bedrooms and a common space, offering a safe, comfortable, and community-focused environment throughout the week.

Please note: Housing is only available for official participants. Parents, spectators, and guests not serving as chaperones will need to secure off-campus accommodations.

Meals Included

At EXPO 2026, students and chaperones will enjoy three meals a day served on-site at Jessup University’s Crossroads Café, known for its variety, freshness, and delicious options.
  • Monday: Dinner only
  • Tuesday–Thursday: Breakfast, Lunch, and Dinner provided daily
Meals are included in your EXPO registration and served in a welcoming, all-you-care-to-enjoy café experience.

Breakfast features eggs, sausage, bacon, potatoes, and a rotating entrée like pancakes or French toast.
Lunch and Dinner include:
  • A hot entrée with two sides
  • Full salad bar with fresh, local ingredients
  • A dessert and drinks (coffee, iced tea, spa water, sodas)
